Data Exports, Audit Log, and Retention Review

SmartGig includes account-level data tools for people with the right permissions. These tools are useful for governance, security review, data handling, and controlled deletion decisions.

Audit Log

• Shows who changed key event data and when, with audit history for review.
• Helps investigate changes to users, settings, approvals, documents, payments, and event data.
• Useful after incidents, staff changes, or unexpected updates to event data.

Tenant data export

• Owners can request an organisation data export from Account settings.
• SmartGig prepares a ZIP package.
• The account receives an email when the export is ready.
• Download links can expire, so download promptly and store according to your own data policy.

Data retention review

• Owners can configure retention periods for compliance documents and archived events where the feature is available.
• SmartGig flags candidates for Pending Deletion Review.
• Nothing is deleted from the review page without approval.
• Owners can approve deletion or extend retention.

Before exporting or deleting data

• Check who requested the action and why they need it.
• Confirm the export or deletion scope is the right one.
• Store downloaded exports according to your organisation's own data policy.
• Do not approve deletion while the data is still needed for active event, finance, compliance, safeguarding, or audit work.
