Event Statuses Explained
Understand Draft, Open, Closed, In Progress, Completed, and Archived so the event lifecycle matches the real world.
Article guidance
Event status is the simple label that tells your team where the event sits in its lifecycle. It also helps SmartGig decide which transitions make sense.
Core event statuses
- Draft: setup is still internal. Public links should not be promoted yet.
- Open: applications, planning, ticket sales, or active setup work can continue depending on module settings.
- Closed: new applications or public intake may be closed, but organisers can still manage records.
- In Progress: the event is happening or being run live.
- Completed: the event has finished and remains available for reporting, documents, finance, and review.
- Archived: the event is no longer part of everyday work but remains part of the account history subject to retention settings.
Typical flow
- Draft moves to Open when setup is ready.
- Open can move to Closed or In Progress.
- Closed can reopen if you need to accept more work or move to In Progress when the event begins.
- In Progress moves to Completed after the event.
- Completed can move to Archived when you are done with normal follow-up.
