Send Post-Event Feedback Surveys

Choose confirmed or approved traders, build custom questions, schedule survey emails and reminders, review response charts, and export answers to CSV or Excel.

Use the event Feedback tab to email a private post-event survey to the traders or other participants you choose. SmartGig starts with confirmed participants, gives you control of the final recipient list, and keeps delivery, responses, charts, and exports attached to the event.

Before you create a survey

  • You need Trader Manager management access to create or edit a survey, review named or written responses, and export answers.
  • You also need permission to send messages before you can schedule, send, or remind recipients.
  • A survey can be prepared as a draft before the event, but its email cannot be sent until the event has ended.
  • Recipients need a usable email address and must not have unsubscribed or requested data erasure.

Create the survey

Open Feedback

Open the event in Trader Manager, choose the Feedback tab, then choose Create feedback survey.

Set the survey details

Give the survey a clear title and add a short introduction explaining how the feedback will be used.

Review the starter questions

Keep, edit, reorder, or remove the starter rating, recommendation, and written-feedback questions, then add any event-specific questions you need.

Review every recipient

Check the automatically selected confirmed participants, remove anyone who should not receive the survey, and add approved participants where appropriate.

Write the email

Add the email subject and message. SmartGig adds the participant name and their secure response button.

Save, schedule, or send

Keep the survey as a draft, schedule it for after the event, or send it now once the event has ended.

Choose useful question types

  • Rating (1–5) for a comparable score such as the overall event experience.
  • Recommendation (0–10) for a Net Promoter Score-style recommendation measure.
  • Yes or no for direct operational checks.
  • Single choice when one option should be selected.
  • Multiple choice when several options can apply.
  • Short text for concise comments.
  • Long text for detailed suggestions or explanations.

Use a small number of rating or choice questions for reliable charts, then one or two written questions for the detail behind the scores.

Review the recipient list

All confirmed participants with a usable email address are selected automatically, even when the event manager did not record check-in. Check-in is shown as useful context, but it is not required for selection.

  • Untick any confirmed participant you do not want to contact.
  • Choose Show approved additions to include approved participants who were not confirmed.
  • Use Select all confirmed to restore eligible confirmed participants, or Clear selection to start again.
  • Participants with a missing or invalid email, an email unsubscribe, or a data-erasure request are shown as unavailable and cannot be selected.

Review the list before scheduling or sending. The recipients and questions freeze at that point, so later status or check-in changes do not silently alter the audience.

Schedule delivery and reminders

  • Send now is available after the event has ended.
  • Scheduled dispatch lets you choose a future date and time after the event. Times are shown in Europe/London.
  • An optional response deadline closes the private survey links automatically.
  • Delivery is paced at up to 80 emails per hour. Leave enough time before the deadline for the full audience and any reminders.
  • Automatic reminders can wait 1–30 days after the previous email and send up to 1–3 reminders.
  • Only people who have not submitted a response are eligible for reminders.
  • While a survey is open, Remind non-responders can queue a manual reminder for eligible recipients.

What the trader receives

Each selected participant receives an email with a private response button. The link is unique to that recipient, expires when the survey closes, and accepts one submitted response. Responses are named rather than anonymous, so do not ask the participant to enter their contact details again.

Read the results

  • Selected, Emails sent, Delivered, Responses, and Response rate cards show the survey funnel.
  • Rating questions show the average, median, and answer distribution.
  • Recommendation questions show the NPS result and answer distribution.
  • Yes or no and choice questions show counts and percentages as accessible bar charts.
  • Written comments and the named individual-response table are restricted to team members with Trader Manager management access.
  • CSV and Excel exports include the submitted answers for analysis or reporting outside SmartGig.

Close the survey

Choose Close survey when you no longer want to accept answers. A survey with a response deadline closes automatically at that time. Closing stops new responses and reminders but keeps the results and exports available to authorised team members.

Feedback surveys are for post-event learning. They are not a replacement for urgent safety, access, or event-day communications.
